Start with the separation hardware
For LC, make a row for each installed module and record its model. For GC, identify the base system and the inlet and detector configuration from reliable records. Do not open covers or disconnect lines to find information for an enquiry.
Follow the sample path on paper
Note the sampler, separation unit and detector in sequence. If a mass spectrometer is connected, include it as part of the proposed scope. Mark components that are shared with another system or will remain at the laboratory.
Describe evidence, not an assumed grade
Include the last known use and the dates of any maintenance or performance records available. “Recently serviced” needs a date and a description of the work. A screenshot or report can help later, after confidential information has been removed.
List the data system separately
Record the computer, software name and version if known. Do not include passwords or licence keys in the enquiry. Software rights, service arrangements and compatibility need their own review before any transfer is agreed.
A reusable equipment record
The CSV template opens in common spreadsheet applications. Keep one row per item and link related modules with a system reference. Leave genuinely unknown details marked as unknown.
